Oxford Roofing and Maintenance LTD is the data controller for the information described in this notice. We are registered in England and Wales under company number 12424206, with our registered office at 7 Priors Lane, Hinton Waldrist, Faringdon, SN7 8RX.

We are registered with the Information Commissioner’s Office as a data controller under reference ZB464249.

We only collect what we need to answer your enquiry and carry out the work. In practice:

• When you use the quote form: your name, phone number, email address (optional), postcode, the type of work you need, your description of the problem, and any photograph you choose to upload.
• When you call or message us: your phone number or messaging handle, and whatever you tell us about the job.
• If we quote or carry out work: the property address, and correspondence, notes, photographs and invoices relating to the job.
• Automatically, if you allow it: see our cookie policy. Nothing beyond strictly necessary storage is used unless you agree to it.

We do not ask for and do not want special category data — health information, religious beliefs and so on. If you send it to us anyway, we will delete it.

• To answer your enquiry and provide a quote — necessary to take steps at your request before entering a contract (UK GDPR Article 6(1)(b)).
• To carry out work you have asked for — performance of a contract (Article 6(1)(b)).
• To keep records of work, guarantees and payments — our legitimate interests in running the business and honouring guarantees, and our legal obligations for tax and accounting records (Article 6(1)(c)).
• To measure which pages are useful — your consent, which you can withdraw at any time (Article 6(1)(a) and the Privacy and Electronic Communications Regulations).

We do not sell your information, and we do not use it for automated decision-making or profiling.

We use a small number of suppliers who process information on our behalf. They may only use it to provide their service to us:

• Our website hosting provider — hosts this site and stores form submissions in transit.
• Our email provider — delivers enquiry notifications and confirmations.
• Google — analytics and advertising measurement, only if you consent. See the cookie policy for the cookies involved.
• Checkatrade — where a customer leaves a review, and for the guarantee scheme.

• Enquiries that do not lead to work — up to 12 months, then deleted.
• Quotes and job records — up to 6 years, so we can honour guarantees and meet accounting requirements.
• Guarantee records — for the life of the guarantee, plus 12 months.
• Photographs you upload — as part of the job record. We will ask separately before using any photograph of your property on this website or in our marketing.

Under UK GDPR you can:

• ask for a copy of the information we hold about you;
• have inaccurate information corrected;
• ask us to delete information we no longer need;
• ask us to restrict what we do with it;
• object to processing based on our legitimate interests;

Contact us and we will respond within one month. There is no charge. If you are unhappy with how we have handled it, you can complain to the Information Commissioner’s Office at ico.org.uk/make-a-complaint or on 0303 123 1113.

If we change how we use your information we will update this page and change the date below. If the change is significant and you are an existing customer, we will contact you.
